About the Role: HR Intern

The HR Intern will support day-to-day HR operations, data management, documentation, compliance, and employee lifecycle activities while gaining hands-on experience in a professional shared-services HR environment.

Key Responsibilities

1. HR Data, Systems & Reporting Support

  • Update and maintain employee data in HR systems (HR App, ERP/MIS).
  • Support preparation of routine HR reports (headcount, attrition, leave tracking).
  • Validate data accuracy and flag inconsistencies to the HR Generalist.
  • Assist with departmental metrics reporting.

2. Contracts & Documentation Support

  • Assist in preparing employee contracts, confirmations, and renewals using approved templates.
  • Track contract expiry dates and documentation status.
  • File and organize work permits and employee documentation.

3. Benefits & Records Administration

  • Support administration of employee benefits records (Medical, Pension, ICEA).
  • Assist the Payroll Lead by compiling required benefits data.
  • Maintain accurate digital employee files in HR systems.

4. Employee Lifecycle Support

  • Support onboarding documentation and system access processes.
  • Assist with offboarding documentation, exit checklists, and IT access revocation tracking.
  • Support exit clearance documentation and filing.

5. Compliance & File Management

  • Assist in maintaining compliance documentation (OSHA, WIBA, NEA).
  • Support internal and external audits by retrieving HR files and reports.
  • Ensure confidentiality and proper handling of employee records at all times.

6. General HR Support

  • Support interview scheduling and calendar coordination when required.
  • Assist with HR system improvement projects, data clean-up, and documentation.
  • Support staff change documentation (transfers, promotions) under guidance.

Requirements

  • Diploma or Degree student / recent graduate in Human Resources, Business Administration, or a related field.
  • Basic understanding of HR principles and employment documentation.
  • Strong attention to detail and data accuracy.
  • Good organizational and record-keeping skills.
  • Basic proficiency in MS Excel and MS Word.
  • Previous internship or industrial attachment is an added advantage.
